Our role
Mailmyra acts as a data controller for information collected directly through its website, account and business operations. When a customer places employee or client information in a managed workspace, Mailmyra may process that information on the customer's instructions as a service provider or processor.
The customer remains responsible for deciding what workplace information is entered and for giving required notices to the people represented in its signatures.
Information we collect
Depending on how you use the service, we may process account and identity details, business contact information, workspace membership, signature fields, uploaded brand assets, campaign content, support messages, billing records and service preferences.
We may also receive technical information such as device and browser type, IP address, timestamps, pages viewed, diagnostic events and security logs. We do not ask users to place unrelated sensitive personal information in signature fields.
How information is collected
Information is collected when you provide it, when a workspace owner or authorised administrator adds it, when you communicate with Mailmyra and when the website or service records technical events needed for operation and security.
Some information may come from identity, payment, analytics or other service providers when you choose to use those services with Mailmyra.
How we use information
We use personal information to create and manage accounts, provide the signature builder and exports, operate team and agency workspaces, respond to support requests, process billing, protect the service, diagnose problems and improve performance.
Depending on the context, processing may be based on performing a contract, complying with law, legitimate interests in operating and securing the service, or consent where consent is required.
International transfers
Mailmyra and its service providers may process information in countries other than the country where you live. Where applicable law requires safeguards for an international transfer, Mailmyra will use an appropriate legal mechanism or obtain the required permission.
Retention and deletion
We retain information for as long as needed to provide the service, maintain security, meet accounting and legal duties, resolve disputes and enforce agreements. Retention periods vary by the type of information and the reason it is held.
When information is no longer required, it is deleted, anonymised or isolated from routine use in accordance with applicable requirements and operational backup cycles.
Security
Mailmyra uses organisational and technical measures intended to protect personal information against unauthorised access, alteration, loss and disclosure. More detail is available in the Security and Compliance document.
No method of transmission or storage is completely secure. Users should protect credentials, review workspace membership and contact us promptly about suspected misuse.
Your privacy rights
Depending on applicable law, you may have rights to be informed, access personal information, correct inaccurate information, request deletion, restrict processing, receive portable data, object to certain processing and withdraw consent.
Send a request to hello@mailmyra.com. We may request information needed to verify identity and authority before responding. You may also have the right to complain to the relevant data protection authority.
California privacy notice
If the California Consumer Privacy Act applies to Mailmyra's processing of your information, California residents may have rights to know, access, correct and delete personal information; to opt out of a sale or sharing; to limit certain uses of sensitive personal information; and not to receive discriminatory treatment for exercising those rights.
Mailmyra does not sell personal information for monetary payment. If a future activity is treated as a sale or sharing under California law, the required notice and opt-out method will be provided. Requests may be sent to hello@mailmyra.com.
Children
Mailmyra is a business service and is not directed to children. We do not knowingly request personal information from children through the service.
